Print Onboarding Guides
An onboarding guide is a resource that helps new users quickly activate their weavix account. Each guide includes a unique QR code tied to the individual’s profile. By scanning the QR code, users can immediately begin their activation process. These guides can be printed for single users or generated in bulk, making it easy to prepare an entire team for setup and use. Onboarding Guides are only valid for 7 days from the time they are downloaded, and cannot be printed for users who are currently active as they have already completed the activation process.
Printing Onboarding Guides in Bulk
First, log in to the Web Console. From the left-hand navigation menu under Configuration, click Users.
Their are multiple ways to identify which users need to be activated and can have their onboarding guides printed.
Your first option is to select the View Activation Options tab highlighted in orange at the top right of your user list screen. This will allow you the option to print onboarding guides for all users that are not yet activated.
After selecting View Activation Options, you will be prompted to a screen showing you 2 different ways to activate your users. On the right hand side, you will see the option to Activate VIA Onboarding Guide. On the bottom right hand corner, you will see the option to Print Guides highlighted in blue.
Once you choose to print onboarding guides, a list of your inactive users will appear. By default, the system automatically presets this list to include every inactive user in the batch you’re generating. If needed, you can adjust the filters to decide which inactive users you want to include, giving you full control over exactly who you will print onboarding guides for. Your first 2 options are to:
Include Full Users who have not yet been activated. Full Users automatically receive an email or text message when their profile is created, giving them the ability to complete their activation without an onboarding guide. However, you can still print an onboarding guide for these users if they have not activated their profile through the invite that was sent to them.
Include Inactive Users who have already had onboarding guides printed. This option allows you to reprint guides for users who are still not activated. However, leaving this box unchecked can be helpful for example, if you’ve already printed onboarding guides for a specific group of users and want to avoid including them again or generating unnecessary duplicates.
You can also filter which users you want to include in the batch of Onboarding Guides you are printing by changing the Conditional Filters. To do so, you will need to click the Advanced toggle on the right hand side of your screen, as well as clicking the Blue Plus icon underneath it.
From here, you have a few options to narrow down the list of users you’re printing onboarding guides for.
People – Allows you to include or exclude users by manually entering their names.
People Tagged As – Allows you to include or exclude users by selecting a tag, grouping everyone with that tag associated to their profile
People with Company – Allows you to include or exclude users by company (e.g., you may have temporary workers listed under a different company that you want to generate onboarding guides for).
People with Craft – Allows you to include or exclude users by craft. This is especially useful if you’re activating users by job title, department, or role (e.g., only generating guides for your maintenance team by filtering for the “Maintenance” craft).
People with Site – Allows you to include or exclude users by site if your account has multiple sites (e.g., you may only want to print onboarding guides for users at Site A, not Site B).
Once you’ve selected how to filter your users, you can then decide whether you want to Include or Exclude users from that filter. Examples of that can be:
Example 1: You are planning to do a training session specifically with your engineering team and only want to print onboarding guides for users with that craft. You would filter your list to:
People with Craft - Include - Add Craft "Engineering"
Example 2: You are printing onboarding guides for your team, but there are a select few users that you don't want to activate yet, and don't need their Onboarding Guides printed. You would filter your list to:
People - Exclude - Add the Users you don't onboarding guides printed for
Now that you have you have filtered the list of users you wish to print onboarding guides for, the next step is printing them. To do so, simply select the Print Guides option highlighted in blue on the bottom right hand corner. A file with the onboarding guide for each user from your list will then be downloaded to your computer, and ready to print.
How to Print Onboarding Guides for a Single User
First, log in to the Web Console. From the left-hand navigation menu under Configuration, click Users. This will take you to your users list.
Users with a clock or envelope icon next to their name have not yet been activated, which means an onboarding guide can be generated for them. The clock icon identifies a Basic User who has been added to your account but has not activated their profile. The envelope icon identifies a Full User (those with an email or phone number tied to their profile) who has received an invite via email or text to activate their profile but has not yet completed the process.
You can also Identify which users still need to be activated by selecting Status on your filter list to the far right. Choosing Pending will display the Basic Users who still need to be activated. Choosing Invited will display the Full Users who have already received an invite to activate their weavix profile but have not yet completed the process.
Once you are ready to print a guide for a user, you will need to click the box to the left of their name. Once the box fills in blue, you will select the arrow down option in the Actions Selected tab in the top right hand corner. This will give you a list of options, and allow you to select Print Guides. After you select print guides, a file will be downloaded to your computer, ready for you to print.
Pro Tip! You can also select multiple users from this screen to print onboarding guides at the same time. To do this, check the box to the left of each user’s name you wish to print onboarding guides for, then follow the same steps outlined above for printing a single user’s onboarding guide.
